HR/Payroll Updates

Tax Forms
2025 W-2 forms that were not picked up have been mailed to home addresses and digital versions are available in your Workday profile under Benefits and Pay.  

Easter Monday
Looking ahead to April, Friday April 3rd and Monday, April 6th are SNC holidays. Monday, April 6th is also a payroll processing day.  Hourly employees will need to submit timesheets by noon that day, and timesheets will need to be approved by 4pm Monday, April 6th.  Please plan ahead and delegate approvals if needed.  Payroll will still be processed on Monday, April 6th regardless of the campus holiday.

Phishing Scams
Please refer to the email sent on 2/28/26 from SNC ITS Alerts for more information. We are seeing an increase in phishing emails targeting SNC faculty and staff.

These messages often appear to come from individuals in high level roles (for example, the Director of Human Resources or the Dean of Students) and indicate that a document or information has been shared with you. The message may contain a link and prompt you to log in to view the content.

Please be aware:

  • These emails are malicious.
  • The links redirect to a fake Okta or Microsoft login page that closely mimics our official sign-in screens in order to capture your credentials.
  • If you enter your information, attackers may gain access to your email, financial details, and other secure college systems.

What You Should Do

  • Do NOT click on unexpected links.
  • Be cautious of messages that create urgency or request you to log in unexpectedly.
  • Carefully review the sender’s full email address - not just the display name.

Due to the increase in phishing attempts, the HR/Payroll Department has implemented an additional layer of security for all direct deposit changes. A member of our team will personally contact employees who submit a direct deposit update to verify and confirm the request before it is processed.

Kroc Center Summer Camp
The Kroc Center Summer Camp is a full-day, state-licensed, faith-based camp for kids 5-12 years old. Enjoy swimming, crafts, games, & outdoor adventures while growing in a safe, Christ-centered environment.

Health Plan & Other Benefits


Teladoc
Teladoc gives you access 24 hours, 7 days a week to a U.S. board-certified doctor through the convenience of phone, video or mobile app visits. Set up your account (for SNC health plan participants) today so when you need care now, a Teladoc doctor is just a call or click away.

Graystone 1on1 Financial Education Sessions
Graystone Consulting, our 403(b) Fiduciary Advisor and Participant Education Specialists will be available to conduct one-on-one financial education meetings.  Additionally, they are available to provide a Beneficiary review and help with rollovers into the SNC 403(b) Plan.  They also offer Comprehensive Financial Planning for St. Norbert College retirement plan participants.  We encourage plan participants close to retirement to take advantage of the Comprehensive Financial Planning services provided by Graystone Consulting.

AAA Promotion
As an appreciation to our area's educators and district staff, AAA on Us would like to provide FREE Primary Classic AAA Membership for one-year to the employees of St. Norbert College. Classic Associates (others in your household) can be added for $21. Primary and Associates renew at regular rates.  Please see the flyer for details.

Benefit Guide and HR Website
We encourage employees to use the resources available to them.  The Benefit Guide encompasses all of our employee benefits with direct and applicable links to information on our website.  Also, the HR Website is a great resource for any question you may have regarding payroll, policies, employee benefits, and other items.

Navigating Benefit Plans
Need help with how deductibles work?  Are you getting the most cost efficient medication?  Are you getting the most out of your dental benefit?  When and how are routine services covered? 1095C Tax Forms
1095-C forms are now available via Workday.  The 1095-C form includes information about the health insurance coverage offered to you by St. Norbert College. As part of the Paperwork Burden Reduction Act passed December 2024, SNC is no longer required to send these forms but will still be required to have them available if a person wants to view or print their form.  You do not need this form to file your taxes.

Flexible Spending - Incurring and Submitting Expenses
For those of you that participated in the Flexible Spending Plan for 2025, please remember that you must incur expenses on or before 12/31/25 in order for that expense to qualify for reimbursement with the plan year of 1/1/25 – 12/31/25.  The due date to submit expenses is always 90 days (3/31/26) after the end of the plan year (12/31/25).  If you don’t submit expenses before 3/31/26, you will not be eligible for reimbursement.  

Rollover Provision - any unused amount (but not more than $660) remaining at the end of a Plan Year in a Participant’s Flexible Spending Health Care Account will be carried over to (and be available for reimbursements of qualifying Health Care Expenses incurred in) the following Plan Year with no effect on the run-out period ONLY if you are also enrolled in the next plan year.  Please contact Associated Bank at 1-800-270-7719 for help on claims or reimbursements.

Workday Delegation
Please remember that things like payroll processing still need to happen while you are away. Staff should be sure to delegate Workday tasks (such as timesheet approvals) to their colleagues when away from campus for more than a few days.
