By applying to a study abroad or off-campus program that is approved by the St. Norbert College Center for Global Engagement (CGE), you agree to the following CGE policies. Please note that all policies are subject to change.
SECTION I-Program Participation
Students are required to:
● Review all pre-advisory materials in my program application
● Attend all mandatory orientations, pre-departure sessions, and course enrollment meetings
● Submit all required documents by the stated deadlines
● Accept that failure to meet these requirements may result in removal from the program without refund
Eligibility
Students will confirm that they are not on academic or disciplinary probation. The students who are on probation are ineligible for international programs. However, if their status changes after acceptance, the students are responsible to immediately notify the Center for Global Engagement and understand their participation may be revoked.
Health and Safety
Understanding that international travel involves inherent risks, including weather events, natural disasters, medical emergencies, political instability, crime, and public safety concerns. Students are responsible for their own safety and well-being, particularly when traveling independently. While the College provides travel information, the students must take personal precautions to safeguard my health and safety.
Health Insurance
● All participants are covered by International SOS health insurance during the program
● Students must familiarize themselves with coverage details and contact International SOS for approved provider lists before seeking care.
● International SOS does not cover U.S.-based medical needs, including prescription drugs and physical therapy. Students are strongly encouraged to maintain U.S. health insurance.
● Students are responsible for out-of-pocket medical expenses and must seek reimbursement per insurance procedures.
● In the event of illness or injury abroad, students will obtain appropriate care and promptly notify their program director or liaison.
● Students are required to authorize the College to notify their emergency contacts in case of medical emergency.
Disability Accommodations
Students are responsible for disclosing any need for disability accommodations. Access to accommodations varies by country, and the College may request documentation. Students will work with their study abroad advisor and the Office of Academic Success, Support, and Accessibility as needed.
Legal Compliance
● Students are subject to host country laws and responsible for complying with all local laws and regulations
● Students are responsible for all legal consequences of violating the host country's laws
● The College, host organizations, and U.S. Embassy cannot intervene if the students are arrested or imprisoned
● Students must obtain current information on host-country laws, including those regarding alcohol, drugs, and other regulated substances.
Travel Documents
Students are solely responsible for obtaining all necessary travel documents, including a valid passport, visas, and required endorsements. Visa requirements may change at any time; I am responsible for obtaining current information from the appropriate consulate or embassy. Failure to obtain necessary documents may prevent of delay my departure but does not release me from financial obligations associated with the program.
Independent Travel
Any independent travel during free time, before, or after the program is unsupervised by program faculty or staff. Students are solely responsible for my safety during any independent travel, will register such travel with the College system, and will pay all associated expenses.
Information Sharing
All study abroad participants consent to the Center for Global Engagement sharing their program participation information with relevant College offices (Financial Aid, Bursar, Student Affairs, Registrar, Student Health Services, Counseling and Psychological Services, and Academic Success), program contacts, faculty directors, and service providers
SECTION II-Financial Responsibility
Deposits and Fees
The Host program may require a deposit to secure a space. All deposits and participation fees are non-refundable after the deadline and cannot be transferred to another person, program, or term.
Fall Semester
● February 15 - Application Deadline
● July 1- Non-Refundable Study Abroad Participation Fee: $750.00
Spring Semester
● September 15 - Application Deadline
● December 1 - Non-Refundable Study Abroad Participation Fee: $750.00
J-Term and Global Seminar
● September 15 - Application Deadline
● December 1 - Non-Refundable Study Abroad Participation Fee: $375.00
Summer & Global Seminar
● January 15 - Application Deadline
● April 15 - Non-Refundable Study Abroad Participation Fee: $375.00
Program Costs
Students are responsible for understanding all program costs, including billable and non-billable expenses. Estimated in-country costs are provided for planning only and are not fixed prices. All participants are responsible for the complete and timely payment of all billable costs by the specified due dates. The enrollment is not confirmed until all payments are made. The College reserves the right to cancel the participation of the program if financial obligations are not met.
Withdrawal Policy
● Withdrawals must be submitted via email to studyabroad@snc.edu and are official only upon email confirmation
● The effective withdrawal date is when the College receives official notification
● All participants are responsible for all costs already committed to be paid on their behalf
● Refunds, if any, are determined by withdrawal timing and College policies, which vary by program
Dismissal
If dismissed for any reason (including conduct violations or failure to meet requirements), the students are responsible for all costs incurred, costs associated with an early departure, and for arranging and paying for return travel. They are not entitled to any refunds.
Additional Financial Responsibilities
The participants are responsible for:
● All personal expenses, including uncovered meals, sundries and other purchases, personal travel, souvenirs, and entertainment
● Medical expenses not covered by International SOS or host program insurance
● Fines, legal fees, or costs resulting from violations of local laws or program policies
● Independent travel costs before, during, or after the program.
SECTION III-Code of Conduct
Conduct Expectations
As a program participant, the participants are required to:
● Read and comply with St. Norbert College's The Citizen and Code of Student Life
● Represent St. Norbert College and the United States responsibly
● Respect all participants, faculty, staff, and individuals I encounter abroad
● Refrain from behavior that jeopardizes my health, safety, or welfare or that of others
● Respect and comply with the host country's cultural norms and social expectations
● Comply with all host institution policies, program provider rules, College policies, and host country laws.
Alcohol Policy
St. Norbert College prohibits illegal or irresponsible alcohol use in all locations. I am responsible for knowing and complying with local laws regarding legal drinking age, possession, and consumption of alcohol. If of legal age, I will consume alcohol responsibly and in moderation. Excessive, illegal, or misconduct-related alcohol use may result in disciplinary action, including program dismissal. I am responsible for any legal or medical expenses from alcohol-related incidents.
Drug Policy
Possession, use, distribution, or sale of illegal drugs is strictly prohibited. Drug laws vary significantly between countries; penalties may include arrest, imprisonment, or deportation. The College, host organizations, program providers, and the U.S. Embassy cannot intervene on behalf of students arrested on drug-related offenses. Any drug violation results in immediate dismissal from the program and may result in further College disciplinary action.
Conduct Review
Alleged violations of this Code of Conduct, College policies, or host-country laws or behavioral expectations will be reviewed under the College's standard conduct procedures as outlined in The Citizen. Potential outcomes include warnings, probation, suspension, dismissal, or other appropriate sanctions.
Dismissal Consequences
If dismissed for conduct violations:
● The participant must immediately cease all program participation and may not remain in program housing or facilities
● The participant may not travel with the program or participate in any program activities
● The participant is responsible for arranging and paying for return travel
● The participant is not entitled to any refunds
● The dismissal will be reported to the appropriate College offices and may appear in the participant's transcript.
The participants will promptly report any concerns regarding conduct, safety, or policy violations to their study abroad advisor and the Center for Global Engagement.
Governing Law
This agreement is governed by Wisconsin law. If any provision of this agreement is deemed unenforceable by a court of competent jurisdiction, the remaining provisions remain in full force and effect.
